Who we are

Total Landscaping Services (“we”, “us”) is a landscaping company based in Ascot, Berkshire, and is the data controller for the personal information described on this page.

What we collect, and when

We only collect personal information you type into a form on this site, or give us on the phone. There is no account to create and nothing to log in to.

Enquiry forms

  • Your name.
  • Your phone number.
  • Your postcode, or the details of the work you are asking about.
  • Your email address, if you use the contact form on the main site rather than the shorter enquiry form.
  • A Google click identifier, if you arrived from one of our Google adverts. This is a random string that lets us tell which advert produced an enquiry. It contains nothing about you.

If you accept cookies

  • Which pages you looked at, for how long, and how you arrived at the site.
  • Whether you tapped a call button or submitted an enquiry.
  • Approximate location, derived from your IP address by Google, at city level.

We do not collect payment details through this website, and we do not ask for special category data such as health or financial information.

Why we use it, and our lawful basis

  • To answer your enquiry, arrange a site visit and give you a quote. Lawful basis: taking steps at your request before entering into a contract.
  • To carry out work you have booked, and to keep records of it. Lawful basis: performance of a contract, and our legal obligations.
  • To measure how our website and our advertising perform. Lawful basis: your consent, given through the cookie banner, which you can withdraw at any time.

We do not send marketing emails, we do not sell or rent your details to anyone, and the consent box on the enquiry form covers that enquiry only.

Cookies and measurement

Nothing that identifies you is stored on your device until you accept it. The cookie banner defaults to refusing every advertising and analytics cookie, and no analytics or advertising cookie is written unless you press Accept.

If you accept, we use Google Analytics 4 to understand how the site is used, and the Google Ads tag to count how many enquiries our adverts produce. Both are provided by Google, which acts as our processor for analytics and as a controller in its own right for advertising. Google may transfer data outside the UK under its standard contractual clauses.

If you refuse, Google still receives an anonymous, cookie-free signal that a page was viewed. It cannot be linked to you, to your device or to any previous visit.

To change your mind, clear this site's data in your browser settings and the banner will ask you again on your next visit.

Who else sees your information

  • Netlify, which hosts this website and receives form submissions on our behalf.
  • Google, for the analytics and advertising measurement described above, and only if you accepted cookies.
  • Our own directly employed crew, who need to know where you are and what the job is. We do not use subcontractors.
Needs content:any other processor that handles customer data — accounting software, a CRM, a quoting tool, an email provider. List each by name, or confirm there are none

How long we keep it

Enquiries that do not become jobs are kept only as long as we might reasonably still be talking to you about them, and then deleted.

Needs content:retention periods — how long an unsuccessful enquiry is kept, and how long customer and job records are kept afterwards. Note that HMRC requires business records to be kept for six years, which usually sets the second figure

Your rights

Under UK data protection law you can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, object to us using it, and withdraw any consent you have given. Email info@totallandscapingservices.co.uk and we will respond within one month.

If you are not happy with how we have handled it, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you spoke to us first.

Changes to this policy

If this policy changes we will update the date below. This version replaces any earlier one.
